New Westminster City Council is set to take its April 7 meeting on the road to Queensborough Community Centre, marking the second time in 2024 that a council meeting will be held in the neighborhood. The added session comes with an estimated $10,000 cost, which will be absorbed into the legislative services departmentโ€™s operating budget.

Since 2013, the council has hosted one meeting per year in Queensborough, but a November motion by Coun. Tasha Henderson prompted staff to explore the feasibility of adding a second session. While surprised by the cost, Henderson supported the decision, citing improved accessibility for residents.

The primary expense stems from contracted audio-visual services, as City Hallโ€™s complex broadcasting system cannot be easily replicated offsite. Equipment such as microphones, video cameras, monitors, and hybrid live-streaming technology must be temporarily installed to allow both in-person and virtual participation.

To ensure future offsite meetings meet accessibility standards, Coun. Jaimie McEvoy introduced an amendment requiring all non-City Hall meetings to have the same level of accessibility as those held in council chambers. The council unanimously supported the amendment, emphasizing the cityโ€™s commitment to equity and public engagement.

If additional offsite meetings are considered in the future, staff will need to report back on a more permanent solution for accessibility and technical needs.
